This position is concerned with all administrative functions and working closely with the F&B Director and Exec Chef in dealing with various departments in the hotel.
Takes charge of the filing system at the F&B office and keeps all the files in a good system.
Processes the in / out faxes and memos and other correspondence efficiently and properly.
To assist F&B manager in scheduling meetings with clients.
To coordinate and communicate with other outlets in F&B and other department.
To prepare Food & Beverage monthly promotional activity report.
To accomplish monthly reports such as F&B financial report sent to the head office.
Assists in booking of reservation for monthly Gourmet Club.
To perform other duties as may be assigned by the F&B manager & Asst. F&B manager.
To prepare F&B outlet monthly promotional menus.
To assist Banquet Manager in negotiating with quotation for printed material.
Assists in the translation for F&B monthly newsletter and other related printed advertisement.
To prepare proposal fax based on the client requirements (menus and prices should match the required food cost percentage of the hotel.)
Function sheets to be processed by typing the portions, quantities and special service instructions for respective departments to carry out. Distribution of function sheets to respective section of the kitchen. Translating of menus to the Chinese Kitchen.
Preparing the supervisors file with daily function sheets and other food and beverage activities held in the hotel for the daily 10am briefing.
Handle staff particulars such as inquiries of public holidays, vacation days due to staff and recording of medical records.
Arranges staff uniform request and accident reports. Translating to Chinese, Chefs instructions.
Types monthly staff attendance list and mark their attendance, split shift and transport allowance. After completion with Chefs signature to pass to Accounts office for processing. Prepares attendance record for the F&B outlet managers as well.
New staff - to introduce to chef de partie concerned. Arrange their Orientation meeting and the fire training session. Keep personnel record of all staff, personnel record compose of aress, salary, status, birthdays and identity card number plus date of commencement.
Typing of productivity form, pertaining to the number of staff strength in respective section, overtime and numbers of era labors involved.
Writes work orders for all section of the kitchen, delivers to Engineering department stamps time) and follow up with the completion of work orders.
Keep track of staffs’ probation report, to contact Chefs concerned for the appropriate marking and grading staff. With Chefs signature, then pass to the human resources office. Arrange for staff and Chefs discussion on the Employee’s Progress Report. Also does translation to staff.
Arranges Chefs office requisitions such as office materials, food requests, market lists, beverage requests, as also on general Storeroom request such as doily papers, silver foils, Deli Shop cake boxes etc. to ensure a sufficient stock.
Writes letters and memorandums, follow up on memos. Distributes latest food and beverage activities / to concerned departments.
Attends Supervisors Meeting, keep attendance and write minutes and distribution of minutes to all concerned.
Keep recipe file up to date together with Executive Sous Chef.
Handles requests brought up by other department concerning food and beverage kitchen, handling of cake orders, like gathering detailed particulars for cake preparation on cake types, forms, shapes etc.
Prepares general storeroom requisitions for Chefs signature.
Check time cards - listing the number of days, lateness, absence without permission, medical leave reports etc.
Receives function sheets from banquet department and prepares Chefs instructions on service and food set up.
Collection of mails.
Specifications:
Graduate from university with excellent command of written and spoken English.
Possess minimum of two years’ secretarial administration experience.
